AI workflow & business process automation

Still copying data between tools by hand? Automate the workflow

“Half my team’s day is copying things from one tool into another.” A lead fills in a form, and someone pastes it into the CRM, looks the company up, writes a follow-up and pings sales in Slack.

The problem

Manual busywork is slow, and it quietly leaks money

It isn’t only leads. An order comes in and someone updates the spreadsheet, the invoice and the stock count. Every Monday, someone spends the morning pulling numbers from five dashboards into one report. None of it is hard, but it adds up to hours every week.

And because people do it by hand, things slip. A lead waits two days for a reply. An invoice goes out with the wrong amount. A client’s onboarding email never gets sent because the person who usually sends it was on holiday.

The solution

What we build: workflows with AI where judgement is needed

Traditional automation moves data from A to B. AI workflow automation also handles the steps that used to need a person: reading an email and deciding what it’s about, pulling key fields out of an invoice PDF, scoring a lead, or drafting a personalised reply for someone to approve.

We map your process first, step by step, and label each step: automate fully, automate with human approval, or leave manual. Then we build it on the right platform. Zapier or Make suit simpler flows your team wants to edit. n8n or custom code make more sense when volume, running cost or data privacy matter.

Your process is mapped and the workflows built by our own team of 15 in Dhaka, Bangladesh, working with clients across the US, UK, Canada and Australia. More about how we work.

Workflows we build most often

  • Marketing agency

Leads from Facebook and Google ads are enriched, scored by AI and routed to the right account manager in seconds, with a first reply already drafted.

  • Coach or creator

Every new booking triggers the contract, invoice, onboarding emails and welcome pack, with no manual steps between payment and first session.

  • E-commerce store

Supplier invoices arriving by email are read, matched to purchase orders and entered into your accounting software, ready for one-click approval.

One lead, before and after

Before: done by hand

  1. Form submitted, email sits in a shared inbox
  2. Copied into the CRM the next morning
  3. Company looked up manually
  4. Reply written from scratch
  5. Sales told in Slack, if someone remembers

After: automated with AI

  1. Form submitted
  2. AI enriches and scores the lead
  3. CRM record created and assigned
  4. Personalised reply sent, or queued for approval
  5. Right salesperson alerted, all within a minute
Illustrative example of a typical lead-handling workflow.

What you get

  • A process map of each workflow, showing what is automated and where people approve
  • Working automations in Zapier, Make, n8n or custom code, in accounts you own
  • Error alerts, so a failed step tells someone instead of failing silently
  • A run log showing what each workflow did and when
  • Short video walkthroughs so your team can adjust simple steps
  • Handover of every login, workflow and AI prompt

Every project also includes a free initial consultation, a dedicated timeline, written progress updates on a fixed schedule and full source code ownership on final payment.

Typical timeline

Typically 2–6 weeks, depending on how many workflows are in scope.

  1. Week 1

    Process mapping

We walk through the current process with the people who do it and agree what to automate and where approvals sit.

  2. Weeks 2–4

    Build

One workflow at a time, each tested with real data in a sandbox before it touches live systems.

  3. Weeks 4–6

    Rollout

Each workflow runs alongside your manual process for a week, then we switch over and monitor.

The weeks shown describe a project at the upper end of the range. A single workflow runs the same three stages in less time.

Questions businesses ask before starting

Which platform should we use: Zapier, Make or n8n?

It depends on volume, budget and who maintains it. Zapier is the easiest to edit but gets expensive at high volume. Make is cheaper and more flexible. n8n can be self-hosted, which suits sensitive data. We recommend one in writing before building.

What happens when an automation breaks?

Every workflow we build has error handling. A failed step retries automatically, and if it still fails, a named person gets a message with the details and the data that failed.

Will AI make decisions we can’t check?

Only where you allow it. Any step that sends something to a customer or moves money can require one-click human approval, and every AI decision is logged.

We already have some automations. Can you fix those?

Yes. We often start by auditing existing zaps or scenarios, fixing the fragile ones and merging duplicates before adding anything new.

Typical investment

Growth package

$2,000–$8,000

Growing companies

A single workflow is usually a Starter project. Several connected workflows with AI steps typically fall into Growth.
