Packages set the price, not the timeline: how long a project takes depends on the service. Each service page gives its own typical timeline.

How we price

What moves a project up or down the range

Two projects with the same name can differ a lot in effort. A “chatbot” that answers from ten help articles is a Starter project; one that checks orders, books appointments and hands over to three teams is Growth. These four factors explain most of the difference.

How the engagement itself works (who decides, how you pay, what the first month looks like) differs by company size: see how we work with startups, small businesses and enterprise teams.

Running costs such as AI model usage and hosting are billed by the providers directly to accounts in your name, so you always see exactly what they cost. We estimate them for you before the project starts.

  • Number of systems involved

Each tool the solution reads from or writes to — CRM, store, help desk, database — adds integration and testing work.

  • State of your data

Clean, well-organised documents and records are quicker to build on than scattered files that need collecting and tidying first.

  • Custom interface or not

A chatbot widget or background automation needs little design work; a full web app with several screens needs much more.

  • Users, roles and security

Multiple user types, permissions, audit trails and compliance requirements add build and review time.

After launch

Monthly maintenance plans

Every project includes free post-launch support (14 days on Starter, 30 on Growth and 60 on Enterprise). After that, keep your software and AI systems secure and improving with a monthly plan. All plans have a 3-month minimum term.

  • Essential

    $300/month

    • 10 hours of work per month
    • Monthly checks
    • Response within 2 business days
    • 3-month minimum term
  • Standard

    $700/month

    • 25 hours of work per month
    • Fortnightly checks
    • Next-business-day response
    • 3-month minimum term
  • Priority

    $1,500/month

    • 50 hours of work per month
    • Weekly checks
    • Same-day response
    • 3-month minimum term

Unused hours roll over for one month, then expire.

  • Growth: 30% upfront, 40% at the agreed mid-point milestone, 30% on delivery.
  • Enterprise: invoiced monthly against an agreed schedule.

Invoices are in US dollars, payable by card (Stripe), PayPal or bank transfer.

Refunds

  • The deposit is non-refundable once work has started.
  • If you stop a project after that, any pre-paid amount for work not yet done is refunded pro-rata.

Support after launch

  • Free post-launch support: 14 days on Starter, 30 on Growth and 60 on Enterprise.
  • On maintenance plans, unused hours roll over for one month, then expire.
  • After the 3-month minimum, plans continue month to month, and either side can end them with 30 days’ notice.

FAQ

Pricing questions, answered

Payments, timezones, contracts, AI models, data safety and ownership.

How do international payments work?

BuildAI invoices in US dollars, and clients can pay by card through Stripe, by PayPal, or by international bank transfer.

The payment schedule depends on the package: Starter projects are 50% upfront, 50% on delivery; Growth projects are 30% upfront, 40% at the agreed mid-point milestone, 30% on delivery; Enterprise projects are invoiced monthly against an agreed schedule.

Clients in the UK, Canada and Australia pay the USD invoice from their usual account; your bank or card provider sets the exchange rate. These are plain-English summaries. Your signed contract governs, and all terms are confirmed in writing for each project.

How do we communicate across timezones?

BuildAI schedules calls inside your business hours and sends written progress updates on a fixed rhythm, so the time difference stays predictable rather than disruptive.

You get one named point of contact and a shared channel — Slack, Microsoft Teams or email, whichever you prefer — for day-to-day questions. Because part of our working day falls outside yours, feedback you send in the evening is often acted on by the next morning.

Do you sign NDAs and contracts?

Yes. BuildAI signs your NDA before you share anything confidential, and every project runs under a written contract.

The contract sets out the scope, price, timeline, ownership of the work and support terms. If you don’t have an NDA template, we’ll send ours.

What’s your revision and refund policy?

Anything needed to make the work match the specification you approved is fixed at no extra cost, and requests outside that scope are quoted separately before any work is done.

On refunds: the deposit is non-refundable once work has started. If you stop a project after that, any pre-paid amount for work not yet done is refunded pro-rata.

These are plain-English summaries. Your signed contract governs, and all terms are confirmed in writing for each project.

Which AI tools and models do you build with?

BuildAI uses whichever AI model fits the job — most often OpenAI’s GPT models, Anthropic’s Claude, or open-source models — chosen for accuracy, cost, speed and data-privacy needs.

We build so you can switch providers later without rewriting your system, because the best model for a task changes often. For automation we work with Zapier, Make and n8n, as well as custom code.

Is our data safe when using AI?

Yes: BuildAI uses business-grade AI services whose terms exclude training on your data, and can keep sensitive data entirely inside your own cloud when required.

Each feature can access only the data it needs, credentials are stored securely, and AI actions are logged. For regulated or highly sensitive data, we can run open-source models in your own environment so nothing leaves it.

Who owns the code and the AI systems you build?

You do: on final payment you own all the source code, prompts, workflows and documentation BuildAI creates for your project.

Everything lives in accounts registered to you — code repository, cloud hosting, AI provider and automation platforms — so there is no lock-in. Third-party tools and open-source libraries remain under their own licences.

What happens after launch?

Every BuildAI project includes free post-launch support to fix issues and fine-tune the system with real usage: 14 days on Starter, 30 on Growth and 60 on Enterprise.

After that you can take the system in-house with full documentation, or keep us on a monthly maintenance plan: Essential ($300/month), Standard ($700/month) or Priority ($1,500/month), each with a 3-month minimum term. After the 3-month minimum, plans continue month to month, and either side can end them with 30 days’ notice.
