AI integration into existing business systems

Your systems work, but they weren’t built for AI. We connect them

“Our systems work fine. They just weren’t built for AI.” Your CRM holds years of customer history and your ERP runs orders and stock, but the knowledge inside them is hard to reach.

The problem

Valuable data, locked in systems nobody wants to replace

Staff search three systems to answer one question, write summaries by hand, and re-key information that already exists somewhere else. Maybe there’s also a custom internal system, built a decade ago, that still does its job.

You can see where AI would help. What you don’t want is to put at risk the systems everything depends on, or to send sensitive data somewhere you can’t control.

The solution

What we build: AI that works beside your systems, not over them

We connect AI to your existing systems through their APIs or databases, or where there’s no API, through safe read-only exports. The AI works alongside the system: summarising records, answering questions over your data, classifying incoming items or drafting documents. It writes results back only where you approve it.

Because the data is often sensitive, security is part of the design. We use business-grade AI services that don’t train on your data, give each feature access only to what it needs, log every AI action, and can run open-source models inside your own cloud when data must not leave it.

Integration work is handled by our own team of 15 in Dhaka, Bangladesh. Because our day runs ahead of yours, something you hand over at the end of your day is often waiting for you the next morning. More about who you would be working with.

What AI integration looks like in practice

  • Private knowledge assistant

Answers staff questions from policies, contracts and manuals and cites the source document every time. This technique is called retrieval-augmented generation (RAG).

  • CRM briefings

An AI summary of each customer’s history inside the CRM, so account managers are briefed in seconds before a call.

  • Smart intake

Incoming emails and forms are classified and routed into the ERP, with key fields extracted and waiting for approval.

Systems we can connect AI to

If a system has an API, a database or an export, we can usually work with it. Common examples:

  • Salesforce
  • HubSpot
  • Zoho CRM
  • Pipedrive
  • Microsoft 365 & SharePoint
  • Google Workspace
  • Zendesk
  • Freshdesk
  • Intercom
  • NetSuite
  • Odoo
  • Xero
  • QuickBooks
  • Shopify
  • PostgreSQL, MySQL & SQL Server
  • Custom REST and SOAP APIs

Not on the list? Tell us what you run and we’ll confirm the approach in the assessment.

What you get

  • An integration assessment covering available data, access method and security approach
  • The AI feature itself, embedded where your team already works
  • Scoped, logged access so you can see exactly what the AI reads and writes
  • A search index or knowledge base over your documents, where relevant
  • Security and data-flow documentation for your IT or compliance team
  • Monitoring for accuracy, cost and errors after launch

Every project also includes a free initial consultation, a dedicated timeline, written progress updates on a fixed schedule and full source code ownership on final payment.

Typical timeline

Typically 3–8 weeks, starting with a short assessment.

  1. Weeks 1–2

    Assessment

We map systems, data and security requirements, and prove access with a small read-only test.

  2. Weeks 2–6

    Build

The AI feature is built in a staging environment and tested on real or anonymised data.

  3. Weeks 6–8

    Pilot and rollout

One team pilots it while we measure accuracy and time saved, then we expand to everyone.

The weeks shown describe a project at the upper end of the range. A single integration runs the same three stages in less time.

Questions businesses ask before starting

Will our data be used to train AI models?

No. We use business-grade AI services whose terms exclude training on your data, or open-source models hosted in your own environment when that’s required.

Our system is old and has no API. Can you still integrate?

Usually, yes. Through database access, scheduled exports or a small connector service. We confirm the approach during the assessment, before any build work is quoted.

Could this break our existing system?

We start read-only and add write access only where it’s agreed and tested. The integration runs beside your system, so if the AI is switched off, everything works exactly as before.

Can you work with our IT team?

Yes. We share architecture and data-flow documents up front and work within your access, approval and change-management processes.

Typical investment

Growth package

$2,000–$8,000

Growing companies

Most integrations with one or two systems fit the Growth package. Multi-system work with strict compliance requirements is scoped as Enterprise.
